Mastering Invoicing in ConnectWise: Invoice Attachments, Batch Emailing

Plus My Experience with NotebookLM and Podcasts 🙄

Greetings and Gigabytes

In this week’s newsletter, we’re continuing the conversation on Invoicing in Connectwise PSA. From adding attachments to invoices to streamlining your workflow with batch emailing, we’ve got you covered.

I’m also sharing my thoughts on NotebookLM, an AI tool I recently tried out to create a podcast in one minute.

Whether you're curious about AI tools or need tips for smoother invoicing, you’ll find something valuable here.

Plus, my new YouTube Channel announcement - read on!

Tech Task of The Week

If you’ve ever needed to send an attachment with an Invoice in ConnectWise PSA, the key is to use the Invoice Batch Emailing screen. Here’s a quick guide to walk you through the process:

  1. Open the Invoice Batch Emailing Screen:
Start by navigating to the Finance > Invoice Batch Emailing screen. This is where you can manage and send multiple invoices at once, and it’s also where you’ll add attachments.

  2. Find Your Open Invoices:
Use the search function to display all invoices that are in an open status. If the invoice you want to send isn’t showing, make sure it’s marked as open and added to the batch email list.

  3. Select the Invoice and Add an Attachment:
Click on the underlined invoice number to open the Email Communication screen. Here, you can attach a file under the “Attachment” section by clicking "Browse" and selecting the file from your computer.

  4. Send the Invoice:
Once the attachment is added, you can either send it as part of your batch email or individually. Just make sure the invoice is part of the batch and hit send.

Using the Invoice Batch Emailing screen streamlines the process of sending invoices with attachments. For more on how to configure and use this feature, check out this week’s YouTube video (more below) , where I dive deeper into batch emailing setup.

Screen Time

I’ve officially ventured into the world of YouTube! Admittedly, the channel is still in its early stages, and let’s just say I’m still figuring out a few things (video editing? yikes), but so far the feedback has been encouraging. It’s been a great way to share tips, tricks, and best practices, especially for ConnectWise PSA, and it seems people are finding it helpful. Here’s what a couple of viewers have said:

I love your videos! I am a CW employee and I always watch your videos to learn the basics again."

"@AndreaSmith-c8p • 5 days ago
The Purchasing Approval, Purchasing, Pick and Ship! But I followed your video and success!! All cleaned up :) thank you so very much. Most of the time I feel so alone with little to no help."

I’ll be posting new content every Wednesday, so make sure you like and subscribe to the channel to stay up to date on the latest ConnectWise best practices, troubleshooting tips, and more. You won’t want to miss out!

Thank you for the continued support, and I look forward to growing the channel (and hopefully my video skills) along the way.

Circuit Break: A Minute of AI

One of my clients recently recommended NotebookLM, an AI-powered tool that they used to create a podcast. Naturally, I had to try it out—and I ended up using it to create a podcast on a previous week’s topic - Timesheet Cleanup.
I uploaded the transcript for the video I had previously recorded, clicked ‘Create Audio"‘ and in one minute, I had a Podcast. You can check it out here.

Now, full disclosure: I actually despise listening to podcasts. For some reason, the long-form, rambling audio really gets under my skin. Even on a three-hour long drive from Calgary to Fernie, my husband has a two-podcast limit AND they have to be curated and approved ahead of time. It’s been almost exclusively “Conan O’Brien Needs a Friend.”
But if podcasts are your jam, more power to you!

That said, I was genuinely surprised by how useful the information was. NotebookLM kept the "hosts" focused and on track, delivering all the key points in a short and sweet format—exactly the opposite of what usually drives me crazy about podcasts.

If you're into podcasts (or even if you're not, like me), give it a listen and let me know what you think!

Powering Down

Thanks for taking the time to read this week’s newsletter.

I hope you found the invoicing tips and my experience with NotebookLM helpful. As always, I appreciate your support. Until next time, have a great week!
