Leveraging Workflow Rules (properly!)
Plus: A more transparent ChatGPT
Greetings and Gigabytes
This week, we're diving into the powerful world of Workflow Rules in ConnectWise PSA (Manage)—a feature designed to automate and streamline your processes.
We'll break down how to identify when a Workflow Rule has been run, editing Workflow Rules, and how to know if you’ve gone too far in your usage of this tool. Trust me - I see it all the time!
In our A.I. segment this week, we’re taking a closer look at Perplexity, a tool that combines the best of Google’s search capabilities with the conversational ease of ChatGPT. I have been using it nonstop since I discovered it.
Tech Task of The Week
Are you familiar with Workflow Rules? Unlike general notifications that tend to be more proactive, nudging users with reminders or updates before actions are needed, Workflow Rules are reactive by nature. They trigger specific actions in response to events or conditions, such as escalating a ticket after it has remained untouched for a certain period.
Here’s a quick video on How to Create an effective Workflow Rule (and avoid common mistakes when setting one up.) After that, you can take a look at How to Identify Workflow Rules in the Audit Trail.
Workflow Rules should be for EXCEPTIONS ONLY. I see so many clients go too far, and create emails and notifications for everything under the sun. A little restraint goes a long way here.
When a workflow rule is triggered, this should cause alarm bells throughout your orgnaization. When people start ignoring or not reacting to a workflow rule, it’s time to turn it off!
Circuit Break: A Minute of AI
It should come as no surprise that I absolutely LOVE using ChatGPT. I have it open all the time—whether I'm working, answering personal emails, or most frequently, troubleshooting formulas in PowerBI or Excel.
However, when it comes to formulas, ChatGPT can sometimes fall a little short. It’s not always the most efficient solution and can require multiple prompts to find the right answer. That’s where Perplexity comes in. This tool displays the sources for your answer right at the top, allowing you to click directly through to the source material. You can even jump straight to the exact point in a YouTube tutorial to get a step-by-step explanation of what you’re trying to solve.

Google Sheets - my nemisis!
It’s amazing, and while ChatGPT will always have a place in my heart, Perplexity is quickly gaining as my new favourite tool to use.
