Everyday Run State: Pro Edition

Are you growing business weeds?

This month, I’ve been spending five minutes each day out in my garden pulling weeds each morning. It’s become a habit - not a big overhaul, just a little maintenance that keeps things from getting out of control.

And it struck me: this is exactly what I do in business, too. I’m the consultant who’s not afraid to get “in the weeds,” whether that’s reconciling to the last penny, digging through data, and making sure every piece of the system fits together cleanly.

Why do I do it? The Weeds Don’t Lie
Here’s the thing about weeds: they start small, but if you don’t deal with them, they spread. Internal operations are no different.

A tiny mismatch between what’s ordered and what’s received. An agreement that doesn’t get updated. A product that isn’t entered the same way every time. Those little discrepancies might feel too small to matter, but they pile up into bigger problems: incorrect reporting, frustrated teams, and expensive cleanup projects.

The weeds don’t lie, they’re signals that something is off. If you pay attention and pull them early, everything else grows healthier.

Before we dive in to your Business Weeding - I’m excited to share that I have a brand-new course coming out Monday on Empath!

If you haven’t heard of it, Empath is a platform built for MSPs to share knowledge, learn new skills, and connect with experts in the industry. Think of it as a community-driven hub where you can level up your team without reinventing the wheel.

My course will walk you through streamlining your purchasing process from scratch — whether your team has been winging it or you’re looking to clean up messy systems. We’ll cover everything from how to structure purchasing roles to setting up workflows that make procurement faster, cleaner, and way less painful.

Keep an eye out for the launch announcement on Monday — I’d love for you (or your team) to join me there!

Try This Today: Pull One Weed in Your System
You don’t have to tackle everything at once. Instead, choose one area of your system to get in the weeds with and clear it out properly. A focused effort now will prevent bigger headaches later.

Here are a few starting points:

  1. Reconcile purchase orders – Take a close look at open POs and match them line by line with what’s actually been received. Even one unresolved mismatch can throw off reports and erode trust in the data.

  2. Check agreements – Review your client agreements. Are rates current? Are they applied consistently to tickets? Cleaning up just one agreement saves dozens of billing adjustments later.

  3. Standardize product names – Audit your product catalog for duplicates or inconsistent naming. That extra space or slightly different spelling makes reporting messy and slows down your team.

  4. Review approval queues – Are there POs or tickets stuck waiting on approval? Clearing that backlog now keeps work flowing and vendors paid on time.

  5. Tidy up time entries – Run a report on unposted or incomplete time entries. Getting them reconciled while the details are fresh avoids month-end scrambling.

These focused, manageable tasks will allow you to put in some effort now to reap the rewards later. What’s one thing you’ve recently cleaned up in your business?

See you next week,
Monica
