Everyday Run State: Connectwise Edition
Are You Carrying Too Much Inventory?
One of the first things I look at when a client is struggling with procurement or profitability in ConnectWise? Inventory levels.
If you're sitting on a mountain of gear, cables, mounts, or random widgets “just in case,” it's worth asking:
Is this helping your business—or costing you?
In supply chain, we call this Maximum Stock—the point where having more inventory becomes a liability.
Let’s break down the real cost of excess inventory:
📦 Storage Costs
Physical space isn’t free. If shelves are overflowing, or you’re considering renting more storage, that’s overhead eating into your margin.
🛠 Labour Costs
The more stuff you have, the harder it is to track, count, or locate what you need. This means longer job prep times, misplaced items, or even accidental reorders. That’s wasted time and payroll.
🧃 Spoilage Costs
Yes, even in tech—cables become outdated, batteries degrade, hardware becomes obsolete. Inventory that sits too long can lose value or end up unsellable.
📉 Financial Visibility Costs
Outdated or inaccurate inventory in ConnectWise = bad data. Bad data = bad decisions. You can’t forecast, reorder, or set margins properly if your numbers are junk.
So… What Can You Do?
Start treating excess inventory like a cost.
It’s not “just sitting there.” It’s actively impacting your business.
Try this today (Just 5 minutes):
Business:
Pull your ConnectWise Inventory Valuation Report with the last date you received an item. Sort by items with the highest quantities or oldest last-used dates. Pick one SKU to flag for use, clearance, or removal this month.
(No idea how to do this? Not to worry - I made a YouTube Video)
Personal:
Got a garage full of half-finished home projects or a drawer of old tech? Pick one thing to donate, sell, or use up this weekend. Excess inventory pain isn’t just a business problem.
💡 Real-Life Example:
I worked with a client who discovered they had $40,000+ in overstock—spread across multiple bins, trucks, and warehouses. They didn’t realize it until we cleaned up their warehouse list in ConnectWise and ran a report at the SKU level.
Once they knew? They cleared space, stopped over-ordering, and improved margins.
Inventory should serve your business—not swamp it.
ConnectWise can be a powerful tool to help you manage it, but only if it reflects reality.
See you in the next issue!
