This spooky season, let’s focus on one simple, actionable task: use Invoice Grouping in ConnectWise PSA to streamline your project billing. Here’s how you can break down complex invoices into manageable phases, ensuring no surprises creep up at the end of the month.

Tech Task of The Week

If you’re working on a large project (like setting up multiple rooms or upgrading client infrastructure), it can feel overwhelming to bill everything at once. Instead, divide the project into phases using Invoice Groups. Here’s how:

  1. Set Up Invoice Groups:

    • Head to Procurement > Product Catalog.

    • Open the Invoice Group tab and create groups like “Phase 1,” “Phase 2,” or “October Install.”

    • Keep names simple and reusable—these groups are available across all projects and tickets.

  2. Assign Products to Invoice Groups:

    • In your project, open the Products tab.

    • Select the products you want to bill in a specific phase (hold shift to select multiple).

    • Use “Add to Invoice Group” to assign them to the appropriate group.

  3. View and Sort by Invoice Group:

    • Back in the Invoicing screen, pull the Invoice Group ID column to the front of your view.

    • This lets you quickly see and sort products by phase, making phased billing easy and organized.

    • Select only the Invoice Group items you would like to bill for each Invoice

Breaking products into phases with Invoice Groups makes it easier to:

  • Spread out costs over time for clients.

  • Track progress by seeing what’s already billed and what’s upcoming.

  • Avoid invoicing delays by keeping things clear and easy to manage.

No more chasing ghosts in your invoicing process—just smooth, predictable billing every time.

Now, usually, when I write about a new tool or software in this section, I have actually tried it out myself and feel confident in bringing it to your attention. This week, we have more of a wild card - Dynamiq.

Dynamiq is an on-premise platform that allows you to build your own secure generative AI applications. In theory, this would be a scalable way to utilize LLMs with confidence that your data is secure. The best use case I can see is in building a Knowledge Base.
Knowledge bases are ideal for LLMs, as they are already intended as a question/answer system. There can be some hesitancy in using a public LLM for a Knowledge Base, especially with company-specific learnings and information, but a private system? Well, that could be the answer.
